Common issues and solutions
Error: "Meeting recording requires Plus or Premium plan"
Feature Limitation
The Free plan does not include automated meeting recording. This feature requires a Plus or Premium plan.
Solution 1: Upgrade Plan
Go to Account → Billing → Upgrade to Plus or Premium to unlock meeting recording.
Solution 2: Record Locally
Use Zoom/Meet/Teams built-in recording, download the file, then upload it manually to transcribe.
Error: "Invalid meeting URL"
Supported Platforms
Only Zoom, Google Meet, Microsoft Teams, and Webex are supported.
Correct URL Formats
Zoom: https://zoom.us/j/123456789 | Google Meet: https://meet.google.com/abc-defg-hij | Teams: https://teams.microsoft.com/l/meetup-join/...
Solution: Copy Full URL
Copy the complete meeting URL from your calendar invite or meeting platform, including https://
Bot Status: JOINING (Stuck)
Cause 1: Meeting Not Started
The host hasn't started the meeting yet. Bot can only join active meetings.
Cause 2: Waiting Room Enabled
For Zoom/Teams, the host must admit the bot from the waiting room.
Solution for Zoom
Host: Open Participants panel → See "TranscribeNext AI Notetaker" in waiting room → Click "Admit"
Solution for Teams
Host: Click "Show participants" → Admit "TranscribeNext AI Notetaker" from lobby
Solution for Google Meet
Host: Click "People" → Admit "TranscribeNext AI Notetaker" when requested
If Still Stuck After 5 Minutes
Cancel the bot and create a new one. There may be a connection issue.
Bot Status: FAILED
Common Causes
Invalid meeting link, meeting ended before bot joined, host denied access, or platform API issue.
Check Error Message
Click the failed bot in dashboard to see specific error details.
Solution 1: Verify Meeting URL
Ensure the URL is correct and the meeting is still active.
Solution 2: Check Host Permissions
Some organizations block third-party bots. Ask the host to enable guest access.
Solution 3: Try Again
Create a new bot with the same meeting URL. First attempt may have had temporary connectivity issues.
Bot Joined But No Transcription
Recording in Progress
Real-time transcript appears during the meeting. Full transcription processes after the meeting ends.
Enable Captions on Platform
Bot uses meeting captions. Host must enable live captions in Zoom/Meet/Teams for transcription to work.
Zoom: Enable Captions
Host: Click "More" → "Captions" → "Enable Auto-Transcription"
Google Meet: Enable Captions
Host: Click "CC" button at bottom of screen to turn on captions
Microsoft Teams: Enable Captions
Host: Click "More" → "Turn on live captions"
How to Cancel Active Bot
Cancel from Dashboard
Dashboard → Active Meetings → Click bot → "Cancel Recording" button
Bot Will Leave Immediately
The bot will disconnect from the meeting within 10 seconds. Partial transcript will be saved.
