Understanding Access Levels

Access levels control what recipients can do with shared transcriptions. All sharing is view-only.

View-Only Access

When you share a transcription, recipients can:

  • ✅ Read the full transcription
  • ✅ Search within the text
  • ✅ View timestamps and speaker labels
  • ✅ Play the original audio (if available)
  • ✅ Copy text to clipboard
  • ❌ Cannot edit the transcription
  • ❌ Cannot delete or move the file
  • ❌ Cannot share it further

Pro Tip

For collaborative editing, export transcriptions as DOCX and use Google Docs or Microsoft Word.

Who Can See Shared Files

Shared file visibility depends on how you shared it:

  • Private Link: Only logged-in TranscribeNext users with the link
  • Public Link: Anyone with the link, no login required
  • The file owner can always see and manage the file

Managing Shared Access

As the file owner, you can:

  • Revoke public access anytime
  • Delete the file entirely (removes all access)

Important

There's currently no way to see who has accessed your shared links. Keep this in mind when sharing sensitive information.
