Public Sharing: Make Files Accessible to Anyone

Make transcriptions publicly accessible so anyone with the link can view them without logging in.

Public sharing allows anyone with the link to access your transcription without needing a TranscribeNext account or logging in.

Important

Making a file public means ANYONE with the link can view it. Only use this for content you're comfortable being widely accessible.

How to Make a File Public

  1. 1Select the transcription(s) you want to share
  2. 2Click the "Share" button
  3. 3Choose "Make Public"
  4. 4Confirm you want public access
  5. 5Link is copied to clipboard automatically
  6. 6Share the link anywhere - no login required for recipients

Public vs. Private Sharing

  • Private (Default): Recipients must have TranscribeNext account and be logged in
  • Public: Anyone with link can view, no account needed
  • Public files remain in your dashboard
  • You can revoke public access anytime

How to Revoke Public Access

To make a public file private again:

  1. 1Find the transcription in your dashboard
  2. 2Look for the public indicator (globe icon)
  3. 3Click settings or share button
  4. 4Toggle off "Public Access"
  5. 5File becomes private immediately

Pro Tip

Public links don't expire. If you want temporary access, consider sharing a regular link and asking recipients to create an account instead.

Security Considerations

  • ❌ Don't make files public if they contain sensitive information
  • ❌ Don't use for confidential business meetings
  • ❌ Don't share personal or private conversations
  • ✅ Do use for content you'd publish on a website
  • ✅ Do use for educational or promotional materials
  • ✅ Do regularly review what files are public

Important

Once a file is public, anyone who saved the link can still access it until you revoke public access. The link doesn't become invalid just because time has passed.
